One charges per person and takes a cut of new clients. The other charges per location and publishes one price out of three. Here is the difference, plainly.

If you run a salon, barbershop or clinic in the UK and you have narrowed your booking software down to these two, you are comparing two genuinely different businesses rather than two versions of the same one.

They charge differently, they are built for different sizes of operation, and only one of them publishes its full price list.

This is written for owners doing that comparison, from an agency that builds booking systems for salons and therefore has an interest in the third option at the bottom.

Everything about either product below came off their own website on 16 August 2026, and anything they do not publish is described as not published rather than filled in with a guess.

Fresha in a nutshell

Fresha is a booking platform with a consumer marketplace attached: an app where people search for a salon near them and book. Its published UK pricing runs a subscription per bookable person: £14.95 monthly on the Independent plan, or £9.95 a month for each person you add on Team, with custom rates at enterprise level.

On top of the subscription sit two usage charges. Somebody genuinely new to you who finds you in the marketplace and books costs you 20% of what they spend that first visit, charged once, floored at £4; every visit after that is free.

Take card payments through the platform and processing is charged per transaction too, at published rates that differ depending on whether the money arrives online, through the terminal or typed in by hand.

Bookings that do not come through the marketplace are unlimited at no extra cost, which is the detail that decides whether Fresha is cheap or expensive for you. Send everybody your own booking link and the commission barely appears. Lean on the app for new business and it becomes the largest line on the bill.

Mindbody in a nutshell

Mindbody is business-management software for appointment and class-based businesses, with its own consumer app attached. Its UK pricing page lists three tiers, Starter, Accelerate and Ultimate, and publishes a price for exactly one of them: Starter, from £89 a month per location. For the other two, its own page says to contact them for pricing.

The pricing unit is the important difference. Mindbody charges per location rather than per staff member, in its own words, so a six-chair salon on one site pays the same base fee as a two-chair one. That is the opposite of how Fresha scales, and it is why the two flip over as a team grows.

Starter covers scheduling and bookings, integrated payments, staff and team management, branded booking widgets for your own website, basic reporting, and a listing on the Mindbody app, which the company describes as free and available to all its customers and says reaches over three million active users.

Accelerate adds deeper analytics, room and resource management for spaces and rentals, a Client Pick-a-Spot feature and promo codes. Ultimate adds automated email and text campaigns, list-building tools, a 24/7 AI front desk for missed calls, a built-in sales pipeline for leads and retention analytics.

What Mindbody does not publish is worth knowing before you book a demo. There is no contract length or minimum term on its pricing pages, no card processing rate, and no per-booking or commission figure for clients who find you through its app.

Its page does say the final monthly cost varies with the plan, the number of locations, optional add-ons, payment processing and transaction fees, so those charges exist; the amounts are simply a conversation rather than a page. Worth asking about on the demo call.

Where each one wins

Fresha is the better fit when

  • You are one person, or a small team, and a per-head subscription is genuinely cheap at your size.
  • You have gaps in the diary and want a marketplace putting you in front of people who have never heard of you. A one-off cut for somebody who was otherwise never walking through your door is a fair trade.
  • You want the cost of the software to be predictable and small, with the bigger charges only landing when the platform has actually brought you something.
  • You want to know every number before you speak to anybody. Fresha publishes the lot, down to the price of a text message.

Mindbody is the better fit when

  • You run several staff, or several rooms, on one site. A per-location fee stops the bill growing every time you hire.
  • You run classes, courses or bookable spaces as well as one-to-one appointments, which is what the room and resource management in the middle tier is built for.
  • You want marketing automation, lead pipelines and retention analytics inside the booking system rather than bolted on from three other tools.
  • You are comfortable with a sales conversation to find out what you will actually pay, and you have the volume to make the entry price look reasonable.

The honest summary is that these two rarely make a genuinely close call. Work out your headcount and whether you need discovery, and one of them usually falls away on its own. A solo lash tech and a twelve-staff spa are not really shopping in the same aisle.

The third option: owning your booking system

Both of the above rent you a system and set the rules. The third route is owning one: a booking system that lives inside your own website, no per-booking commission, your client list stays yours, from a one-off build.

It is what we make, so weigh our bias accordingly, and it is not right for everyone: if you want a marketplace sending you strangers, Fresha's marketplace is genuinely good at that.

Where it does make sense is when you already fill your own diary. If your clients come from Google, Instagram and people telling their friends, you are paying a platform every month to handle bookings it did nothing to win.

It is a bigger decision than picking a subscription, and a slower one, because something has to be built. The sensible test is arithmetic rather than principle: add up twelve months of whichever platform you are weighing up, including the commission and the card fees, and see what the number looks like next to a one-off build. For a solo operator it usually does not stack up. For a growing team it often does, and sooner than owners expect.

Can I switch and keep my client list?

Your client contacts and booking history belong to you, and both platforms let you export them, so plan the move rather than rushing it: export first, import into the new system, rebuild your reminders and deposits on day one, then run both in parallel for a week or two. The part you cannot take is your reviews and listing on a marketplace, since those live on the platform.

Which is cheaper, Fresha or Mindbody?

It depends almost entirely on headcount and where your clients come from. Fresha bills per bookable person, so it starts cheap and climbs as you hire; Mindbody bills per location, so it starts higher and stays flat as the team grows. Add a year of each against your real numbers, including commission and card fees, before deciding.
